Therachange Ltd Terms and Conditions

General

Engaging with Therachange Ltd (referred to as Therachange or we in these terms and conditions) as a patient, potential patient, or interested party includes accessing our website (www.therachange.co.uk), any digital applications, or software (including but not limited to video consultations, access to your online medical records, and electronic communications). By engaging with us, you accept these terms and conditions in full, along with all other policies and procedures that may be published by Therachange or otherwise communicated to you by our team.

We provide mental health and well-being services, including assessments, consultations, and treatment plans. We emphasise the importance of linking back to your local primary care services, both for your safety and to ensure continuity of care (in most cases, this means your General Practitioner or a local medical facility).

You accept that Therachange offers an Outpatient Consultation Service only. Therachange is not able to treat patients in crisis, emergency, or high-risk situations, whether inside or outside of working hours. If your mental health condition deteriorates and you believe you are in an emergency or crisis situation (e.g. experiencing suicidal thoughts, considering harm to yourself or others, or if you are at risk from others), you should immediately contact a relative/carer and seek urgent support via your local NHS Crisis Team, A&E department, or emergency services on 999 (UK) or 111 (NHS support).

Privacy and Data

To provide our services, we require certain personal information from you. This will be stored securely and will not be shared without your authorisation, unless required by law (for example, if there are serious concerns of significant risk to you or others).

We only use your personal information as detailed in our Privacy Policy(link policy). Please read this carefully, as it forms part of these Terms and Conditions. Any personal data you provide will be processed strictly in accordance with the Data Protection Act 2018, UK GDPR, and all other relevant privacy legislation.

Governing Law

The laws of England and Wales apply to these Terms and Conditions. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales..

Patient Commitment

By engaging with Therachange, you agree to:

  • Provide accurate and complete information about your physical and mental health, both during assessment and throughout treatment.
  • Inform us promptly if your information changes or becomes inaccurate.
  • Follow the instructions given by our clinicians.
  • Provide valid proof of ID prior to your first consultation (Tier 1: Passport, Driving Licence, Birth Certificate; Tier 2: recent utility bill, council tax bill, bank statement, or equivalent).
  • Attend all pre-booked assessment and treatment appointments, noting that failure to attend will be managed in line with the Therachange Refund Policy(link policy).

 

You also acknowledge that:

Clinicians may provide differing but reasonable professional opinions, which does not indicate a defective service.

Service Commitment

Therachange will:

  • Conduct thorough assessments and, where appropriate, provide a personalised treatment plan.
  • Only commence treatment once you have agreed to the plan and understand its risks and benefits.
  • Store and manage patient data securely, taking reasonable precautions against equipment or software failure.

While we strive to provide uninterrupted access to our services, Therachange makes no guarantee that digital platforms or systems will always meet your requirements, remain free from error, or be continuously available.

Payments

  • All consultation, assessment, and treatment fees are payable in advance unless otherwise agreed.
  • Our initial consultation fees are non-refundable. In rare cases, at the sole discretion of management, a refund may be considered if we are able to reallocate the appointment slot.
  • By booking an appointment within 14 days of purchase, you acknowledge that you waive your statutory “Cooling-Off Period” under UK consumer law so that services can be provided promptly.
  • Any unpaid balances may accrue interest at 10% above the Bank of England base rate, with collection costs added where necessary.
  • We reserve the right to update our fees and pricing structure at any time.

Limitation of Liability

You accept that:

  • Therachange, its officers, and employees are not liable for delays or service interruptions caused by circumstances beyond our control.
  • We are not responsible for indirect losses, including business losses, loss of profits, data, or goodwill.
  • Clinical letters, prescriptions, or treatment notes are produced at the discretion of our clinicians, based on your medical history and their professional judgment.

The total liability of Therachange Ltd for any single claim is limited to £1,000,000.

Enduring Conditions

If any part of these Terms and Conditions is found unlawful by a court, the remaining provisions will continue in full force. A delay in enforcing rights under these Terms does not waive the right to enforce them later.
